TournamentCost Planning Tools

How much does a youth sports tournament trip really cost?

The registration fee is only one line. Use this framework to build a realistic family budget before the hotel, travel and food charges start arriving.

The costs to put in your tournament budget

  • Team or athlete charge: enter only the amount your family actually owes.
  • Lodging: nightly rate × nights × rooms, plus taxes, resort fees and required hotel-program costs.
  • Transportation: airfare or driving, bags, rental car, fuel, parking, tolls and airport transfers.
  • Food: travelers × travel days × a realistic daily food amount.
  • Spectators: admission, passes or event tickets when they are not included.
  • Family extras: siblings, entertainment, merchandise, laundry and an emergency buffer.

Important: a team-level registration fee is not automatically a family expense. Use your club's actual assessment or divide a shared cost only when that is how your team bills families.

Planning by sport

Different sports create different travel patterns. Use the closest guide, then plug your own team's numbers into the calculator.
